Privacy Policy
Last updated: [06 Aug 2026]
1. Introduction
On The Run Chiropractic – 12791649194, “we”, “us”, “our”) provides mobile chiropractic services across the Sunshine Coast, Queensland, and operates the website www.otrchiropractic.com.au (the “Website”). We are committed to protecting your privacy and handling your personal and health information responsibly.
As a registered health service provider, we are bound by the Privacy Act 1988 (Cth) and the 13 Australian Privacy Principles (APPs), regardless of our annual turnover. As a chiropractor registered with the Chiropractic Board of Australia, our practitioners also comply with the Ahpra Code of Conduct and Queensland health records law.
This policy explains what personal and health information we collect, why we collect it, how we store and protect it, and how you can access, correct, or make a complaint about it.
2. What information we collect
Because we provide clinical treatment, some of the information we hold is “sensitive information” under the Privacy Act and requires a higher level of protection than ordinary personal information.
2.1 Personal information
- Name, date of birth, and gender
- Contact details — address, phone number, email
- Emergency contact details
- Billing details, Medicare number, private health fund and DVA details (where relevant)
- Booking and appointment history
2.2 Health information (sensitive information)
- Medical and treatment history, including presenting complaints and case notes
- Examination and assessment findings, diagnoses, and treatment plans
- Imaging or reports from other providers (e.g. X-rays, referrals, correspondence with your GP or specialists)
- Notes taken during and after consultations, including in-home or mobile appointments
2.3 Information collected through the Website
- Contact form and enquiry details you submit
- Booking details entered through our online booking system (Cliniko)
- Technical data such as IP address, browser type, and pages visited, where analytics or cookies are used
If our Website uses cookies or analytics tools (such as Google Analytics), we will disclose this and, where required, seek your consent.
3. How and why we collect information
We collect information directly from you — through consultations, intake and health history forms, our online booking system, phone calls, emails, or our Website. Occasionally we may receive information from a referring practitioner, a health fund, or Medicare, with your consent.
We collect and use this information to:
- Provide safe, appropriate chiropractic care, including during mobile/in-home appointments
- Manage bookings, reminders, and communication about your appointments
- Process payments and issue invoices or receipts
- Communicate with other treating practitioners involved in your care, with your consent
- Meet our legal, insurance, and professional obligations (including Ahpra record-keeping requirements)
- Improve our services and, where you’ve opted in, send appointment reminders or practice updates
We only collect sensitive (health) information with your consent, or where otherwise permitted by law — for example, where necessary to provide you with treatment.
4. How we store and protect your information
As a mobile practice, we take extra care because clinical notes and devices may be accessed at client homes, workplaces, or in transit between appointments. Our safeguards include:
- Clinical records and bookings are stored in Cliniko, a cloud-based practice management system built for Australian allied health providers, with data encrypted in transit and at rest
- Devices (phone, tablet, laptop) used to access patient records are password/PIN protected, and records are never left unattended in view of others
- Access to your file is limited to practitioners and administrative staff directly involved in your care
- Payment card details are processed by Stripe and are not stored on our own systems — Stripe is a PCI DSS Level 1 certified payment processor
Some of our service providers (including Cliniko and Stripe) may store or process data outside Australia. Where this occurs, we take reasonable steps to ensure your information continues to receive an appropriate standard of protection, including through providers who maintain compliance with the Australian Privacy Principles, GDPR, and equivalent standards.
5. Who we share your information with
We do not sell or rent your personal information. We may share information, only as needed, with:
- Other health practitioners involved in your care (e.g. your GP or a specialist), with your consent
- Cliniko (practice management and clinical record software)
- Stripe (payment processing)
- Medicare, DVA, or your private health fund, where you claim a rebate
- Our professional indemnity insurer, or Ahpra/the Chiropractic Board of Australia, where legally required
- A third party, if required by law or to prevent a serious threat to health or safety
6. Access, correction, and complaints
You may request access to, or correction of, the personal and health information we hold about you. To do so, contact us using the details in Section 9. We will respond within a reasonable timeframe, generally within 30 days, and will explain if we are unable to provide access (for example, if it would pose a serious risk to your health or the health of others).
If you believe we have mishandled your personal information, you can lodge a complaint with us directly. If you’re not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au, or the Office of the Health Ombudsman Queensland at www.oho.qld.gov.au.
7. Data breaches
We maintain a data breach response plan in line with the Notifiable Data Breaches (NDB) scheme. If a breach is likely to result in serious harm to you, we will notify you and the OAIC as required by law.
8. Retention and closure of the practice
We retain health records for the period required by Queensland law and Ahpra record-keeping guidance (generally at least 7 years for adults, and longer for records relating to a minor). If we close or relocate the practice, or a practitioner retires, we will give advance notice where possible and arrange for the appropriate transfer, storage, or destruction of your records in line with our legal and professional obligations.

This document is a starting template and has not been reviewed by a lawyer. Fields shown in red italics should be completed before publishing, and we recommend a solicitor review the final policy given it covers health information.
